Early Move-Out and Refund

As COVID-19 variants fuel transmission in the region, Western is moving the majority of in-person classes and final exams online. We are also encouraging residence students to move home early if you can, and then quarantine for 14 days, as per the guidance shared by the health unit. The University is offering prorated refunds for students who can move out of residence by April 11 or sooner.
We will continue to provide housing and support to students unable to return home early, including anyone currently in quarantine or isolation. Our residences and dining halls will remain open and operational until noon, May 1, 2021, the original closure date.
If I move out of residence now, do I get any refund?
Those able to move out before Sunday, April 11 at 1:00 p.m. will receive a refund prorated from the day they move out. This refund will be applied as a credit to your Student Center account.
The prorated refund will include residence room fee, meal plan overhead, and RezNet fee. For example, if you live in one of our suite-style residences (Elgin or Essex), you would receive a refund of $1,875 if you moved out on April 1, and $1,250 if you moved out on April 11.
Any remaining meal plan credits will be automatically transferred to a Campus Meal Plan, which can be used next year. Alternatively, you can also request a refund of your unused meal plan credited to your Student Center account. Meal plan credit refund requests are made on the MyHousing portal and are due by April 23, 2021.
How do I move out of residence?
If you plan on moving out of residence, we kindly ask you to do the following:
- Lock your room door and close your window.
- Take your trash and recycling to the building’s garbage room.
- Empty your fridge if you live in a suite-style residence.
- Ensure your furniture is in its original position.
- Inform the front desk of your departure once you have emptied your room.
- Hand in your room and mailbox keys to the front desk. Turning in your laundry card is optional.
Please limit yourself to one support person to assist with your packing and move-out. COVID-19 screening questions will be posted outside of the entrances, so we ask that anyone entering the building review our screening questions. Please note that everyone on campus is now required to wear three-layer non-medical masks, rather than cloth masks, indoors and in the presence of others.
If I move out now, but can't bring all my belongings with me yet, can I still get a refund?
You will still need to check out at the front desk following the procedure above. Your room will be locked, and your refund will be calculated based on that check-out date. You must still make arrangements with your residence manager to pick up your remaining belongings, prior to 12:00 noon on Sunday, May 1.
What if I do not choose to move out early?
For those who wish to stay, or are unable to go home, our residences remain open. Dining halls and front desk services remain operational. You will still be expected to move out 24 hours after your last exam, or by noon on May 1, whichever comes earlier.
