Return to Residence for the Winter Term

December 17, 2021

Earlier today, the University announced that out of an abundance of caution and with rising cases of COVID-19 across our region, the start of the winter term will be delayed to January 10, 2022 and all classes will shift to a virtual delivery until January 31, 2022. We are writing to update you on how this will impact your residence experience.

Register your date of return

With these changes in mind, we are asking students to delay their return to residence, where possible, until in-person learning resumes on January 31, 2022.

Western will welcome back students to residence between January 27–30, 2022. Returning students will need to register a return date and time during this period. Daily limits on the number of students allowed to return on designated days and hours will be set, to assist in managing this process as safely as possible.

To register, log in to the myHousing Portal, select ‘Residence’ and then ‘Live in Residence September 2021 – April 2022’. From there, choose ‘Reserve Your Return to Residence Time Slot’ from the list of options.

The University will continue to follow public health guidance and will make adjustments accordingly. It is possible that Western will need to extend the delivery of classes virtually beyond January 31, delaying your residence return. We certainly hope that this is not the case. Should a change become necessary, we will communicate that as soon as possible.

Pack all your essentials

Before going home, make sure you pack all of your necessities, including academic materials, learning tools, medical devices, and medications. Please ensure your bedroom window is closed, and your garbage and recycle bins are emptied. On your way out, you can pick up your rapid testing kit from the front desk - please ensure you complete a rapid test in advance of your return to campus for the winter term (preferably the morning of your return to campus).

Early move-in requests

We recognize that some students may find themselves in exceptional circumstances that will require an earlier move-in date prior to January 27. Early move-in requests will only be considered for students with pre-booked travel arrangements, in-person academic requirements, health reasons, or extraordinary personal circumstances.

To submit your request, log in to the myHousing Portal, select ‘Residence’ and then ‘Live in Residence September 2021 – April 2022’. From there, choose ‘Request an Early Arrival for the Winter Term’ from the list of options.

Students who had their request for a winter stay approved (between December 23–January 2) can continue to stay in residence during the break, and remain throughout the month of January. Students who had an approved early move-in request in January may also return on that previously approved date.

Residence fee refund

To recognize the period of time that you are unable to access your residence room, a prorated residence fee credit will be provided. More details will be communicated about this next week.

By arriving in residence ahead of the regularly scheduled return period, students will forfeit any prorated residence fee credit, regardless of when they arrive during the early arrival period.

The Housing Office will close for the winter break starting Wednesday, December 22 at noon, and reopens on Tuesday, January 4, 2022.

We thank you for your understanding and continuous efforts to prioritize the health and safety of our community.
