We hope that you’re taking care of yourself and are enjoying the first few days of the winter term.
Further to our previous residence update, we are writing to provide you with more information on the residence opening in February and your residence fee refund.
Return to residence
We are currently reviewing the recent State of Emergency declaration and stay-at-home order to fully understand its impact on our residence reopening in February. Based on the provincial government’s announcement, the state of emergency and stay-at-home order will last for 28 days, until Thursday, February 11.
The University is working with the local health unit to ensure your return to residence, anticipated for mid-February, is strategically planned in a way to support the rebuilding of a safe community. Students will need to pre-register for a specific date and time to return to residence to support physical distancing requirements. Daily limits on the number of students allowed to return will be set to assist in managing this process as safely as possible.
We ask that you remain patient and give us a little bit more time as we seek to understand the implications of the stay-at-home order. We will provide an update when the return to residence date range is confirmed, and the registration system is ready to open for you.
Residence fee refund
To recognize the period of time that you are unable to access your residence room, a residence credit of five weeks of your residence fees (incl. room rate, meal plan overhead and RezNet fee) will be added to your account on Student Center.
These credits are calculated based on five weeks starting January 10 to mid-February, based on the assumption that residences will reopen at that point. Should there be a further delay in reopening, the value of the residence credit will be re-assessed.
Please note that the above credit will be applied ONLY for students returning to residence later in February when residences fully reopen. Complete this form to confirm your current status.
The credit will be applied to your Student Center account by the end of February. You will receive an email confirmation from Housing once the credit has been applied. The confirmation email will also include a detailed breakdown of your residence credit.
If you are eligible for a refund (a credit balance on your Student Center account), please ensure that you have enrolled in direct deposit in your Student Center account before February 22 in order to receive your refund in a timely manner. If you do not have direct deposit information on file, your credit will be used towards next year’s fee account with Western. If you require assistance in setting up direct deposit, or if you are an international student and do not have an account with a Canadian bank, please contact firstname.lastname@example.org.
